Getting started
What Refervia is and how to set up your Referral Desk.
Refervia is a referral handoff platform for real estate agents, loan officers, insurance professionals, brokers, brokerages, and agencies. You invite the partners you already work with, or find verified ones in the Partner Network, then send and receive referrals in one place. Every handoff carries a shared status, so nothing gets lost in texts and voicemails.
Real estate agents, loan officers and mortgage brokers, and insurance professionals who send or receive client referrals, from solo agents and producers to brokerages, agencies, and multi-location teams. Individuals work from their own Referral Desk, and team accounts add team members and a shared Team Referral Queue.
Yes. Pick Loan officer / mortgage when you sign up, free. You work from the real estate side, set up for loan officers: your workspace says Mortgage, your referral forms add a buyer's pre-approval and the date the insurance binder is needed, and you get Refervia Verified with your NMLS ID, checked by hand on NMLS Consumer Access. Agents and insurance pros can send you Purchase loan, Refinance, Home equity / HELOC, Reverse mortgage and Investment property loan referrals, you send buyers to the agents you trust, and both sides see the same live status.
Create your free account, complete your profile, invite your first trusted partner, and send or respond to your first referral. The getting-started checklist on your Overview walks you through each step, and you can replay the guided tour anytime.
No. Every account type, including teams, can start on a free plan with no card required.
No. Refervia is not a lead marketplace, a pay-per-lead service, or a referral-fee platform. Refervia does not sell leads, nobody can buy placement in the Partner Network, and clients are never routed to anyone for pay. You bring the partners you already trust, or connect with verified members you choose, and Refervia keeps your handoffs organized and visible.
No, and it does not try to. Refervia handles the referral handoff between you and your trusted partners, with status both sides can see. Keep your CRM for everything else: connect it once and new referrals flow into it automatically through Zapier, or export a CRM-ready CSV anytime.
Referrals and handoffs
Sending, receiving, and tracking a client handoff.
Pick a trusted partner, add the client details, timeline, and notes, and send. Your partner is notified right away, and both of you see the same live status as the referral moves from New to Contacted to In Progress, then to Completed (Won) or Declined. Add a follow-up date and you get an in-app reminder on the day. No one has to chase an update.
Every time you send a referral to a partner, on every plan, a Before you send pop-up shows the referral-fee rules for that handoff, each with the law it comes from: federal rules (RESPA) everywhere, Georgia's own rules when you or your partner work there, and a general version for other states. You read them, tick the box to confirm your client agreed to be referred, and click Accept and send. What you confirmed stays on the referral under Client consent, for both of you. They're reminders, not legal advice, and Refervia never takes, calculates or handles referral fees.
Yes, on every plan. Fill in what you have on the New referral form and click Save as draft. Nothing is sent, nobody is told, and a draft doesn't count toward your plan until you send it. Your drafts wait on your Referral Desk, where only you see them: Review and send opens the form filled in, and Delete removes one. On Pro and up, your Refervia Line makes drafts too: call your own Line and say who the client is for, and it's ready to send when you park.
New means the referral just arrived. Contacted means your partner reached out to the client. In Progress means they are actively working it. Completed (Won) means it closed, and Declined means the partner could not take it. Withdrawn means the sender pulled it back, and Archived clears it off your desk. Both sides see each change as it happens.
Yes. Real estate agents can send clients to insurance professionals, and insurance professionals can refer clients to trusted real estate agents when someone is buying, relocating, investing, or asking for a trusted connection.
Yes. A trusted partner can be in a complementary field, like a real estate agent and an insurance professional, or in your own field. For example, if a client is moving out of your area, you can hand them to an agent or producer you trust in that market.
Warm referrals can lose momentum when follow-up is slow. Refervia gives your partner the client details up front and keeps the status visible, so a handoff does not sit waiting. Insights shows your speed-to-lead over time.
On Pro and up, Refervia follows up for you. If a referral you sent is still New 24 hours later, your partner gets a reminder from Refervia by email and in the app. If it's still New at 48 hours, you get No contact yet, with Send to someone else: the form opens filled in, you pick another partner, and the first partner's copy is withdrawn when you send. Reminders go out within the hour, never between 8 PM and 8 AM Eastern. On every plan you can also click Send reminder yourself, once a day.
Yes, on Pro and up. Open a referral you sent, turn on its Client status link, and text or email the link to your client. It opens a private page with their first name, your partner's name and business, the referral type and where it stands: Sent, Contacted, In progress or Completed. It never shows phone numbers or emails. You see how many times it was opened, you can turn it off any time, and it ends on its own 90 days after the referral closes.
Yes. The sender can edit the referral details after sending, and the partner owns the working status. If you are waiting on an update, use Send reminder (once a day) to nudge your partner. If a handoff is off the table, the sender can withdraw it, and the partner is told it has been pulled back.
Yes. Export CSV downloads your referral list as a clean, CRM-friendly file you can upload anywhere. There is no lock-in.
Yes, on every plan. On your Referral Desk, click Import referrals and choose a spreadsheet saved as CSV. Refervia matches your columns (client, partner, status and more), shows any row that needs a fix before anything is saved, and you can undo an import. Free imports up to 50 referrals, Pro 250, Pro Max 750, Brokerage Free and Agency Free 150, Brokerage and Agency 1,500, and Enterprise 5,000; on team plans the whole team shares the number. Importing never contacts your partners or clients, only you see imported referrals, and they don't count toward your monthly limit.
Your year of referrals on one page, on every plan: referrals sent, received and completed, the partners you worked with, your busiest month, your most common referral type and your top three partners. Open it from Insights. It shows the year so far, then January to November from December 1, and the whole year from January 1. Sharing opens December 1: a public page with your name, business and totals, never a client's or a partner's name, and Stop sharing ends it right away.
Partners
Inviting trusted partners and keeping track of who follows through.
A trusted partner is an outside professional you exchange referrals with, like a real estate agent, a loan officer, an insurance professional, a specialty agent, or a broker. People inside your own brokerage or agency are team members instead, and they share your Team Referral Queue.
Open Trusted Partners and choose Add partner. You only need their email. They get an invite to connect, and once they accept, you can send and receive referrals with each other.
Yes, and they can start free. You invite a partner by email, and once they accept, you can send and receive referrals with each other. If you send a referral before they join, they get an email that a referral is waiting, with an invite to join and see it.
A short agreement you and a trusted partner sign once, in the app, so you can count on each other. It starts on its own when you connect, on every plan, and covers every client you refer to each other: the client's OK before their details are shared, first contact within 24 hours and never later than 48, client privacy, status kept current, and each of you following your own license rules. It has no fees. You each sign with one checkbox. It lasts as long as you're trusted partners and ends on its own if either of you removes the other. Once you've both signed, you can send each other your own documents to sign.
Yes, on Pro and up. Once you and a partner have both signed your partner agreement, upload your own PDF (up to 10 MB and 100 pages), like your brokerage's or agency's referral agreement, mark where each of you signs, sign your part with one checkbox and send it. You can also send one to the client on any of your referrals, who signs from a private link in their email, with no account. Everyone keeps the signed copy, with a signature record page. The document is yours: Refervia delivers it and keeps the signed copy, but isn't a party to it and isn't responsible for its terms, including any fees or payments it sets out.
On any plan, free. You get an email and a notification, and it waits on Documents under Waiting for your signature. Click Sign (or the email's Review and sign), then Start: it takes you to the first Sign here and asks you to adopt your signature, your first and last name in cursive, with one checkbox. Click Next for each remaining place, then Finish. Or click Decline to sign and say why. Once everyone has signed, you both get the signed copy to download.
Yes. You can message the partners you are connected to and, on team plans, your teammates, right inside Refervia, so the conversation stays next to the referral instead of in personal texts. Messaging is unlimited on Pro, Pro Max, Brokerage, Agency, and Enterprise. Brokerage Free and Agency Free include unlimited team messaging plus 5 messages a month per person to outside partners. The individual Free plan does not include messaging.
On Pro and up, Refervia adds signals automatically as you exchange referrals: Fast Responder, Consistent Updates, Complete Handoffs, Strong Fit, Specialty, and Active This Month, plus each partner's typical response time. On every plan you can add your own private labels (Preferred, Reliable, New Partner, Watchlist, Do Not Route) and private notes. Together, they help you decide who deserves more of your future handoffs.
On Pro and up, give and get shows whether referrals go both ways with each trusted partner: what you sent them and what they sent you over the last 12 months. It's Balanced when neither of you sends more than twice what the other does, once you've exchanged 3 handoffs. Otherwise it gives the number, like You send 2.5× more, a good time to ask for one back, or They send 3× more, a good time to return the favor. It's on each partner's card, your Overview and Insights, and only you see it.
No. Your labels and notes stay inside your account and are never shown to the partner. Refervia does not publicly rank or expose partners.
Yes. Open Trusted Partners and choose Pause or Remove. Neither one notifies the other person. Paused partners and partners labeled Do Not Route are hidden from your New referral picker, and you can resume a paused partner anytime or send a fresh invite later if you reconnect. Removing someone also ends your partner agreement with them; pausing keeps it.
The Partner Network is a directory of Refervia members you can browse on every plan, including Free: real estate agents, loan officers, insurance agents, title and escrow pros, brokerages, and agencies. Filter by profession, state, city or ZIP, line of business, or Verified only, then send a request to connect with an optional note. If they accept, you become trusted partners. If they choose Not now, it stays private and nobody is notified.
Each plan includes a number of requests to connect per month: Free 5, Brokerage Free and Agency Free 10 per person, Pro 25, Pro Max 75, Brokerage and Agency 50 per person, and Enterprise unlimited. Every new request counts, even if you cancel it later, and your count resets on the 1st. Accepting a request someone sends you is always free. To keep the network free of spam, anyone can send up to 25 requests a day. The Partner Network page shows how many you have left.
You're listed once you fill out your Partner Network profile in Settings > Profile, so members always see a complete card. Your card shows your photo or logo, name, profession, company, location, preferred areas, lines of business, a short bio, your Verified badge, and positive activity only, like active this month or fast responder. Nothing negative is ever shown, and your license number never is. Turn off Show me in the Partner Network in Settings > Profile, or choose Hide me on the page, anytime. Preferred areas are a preference, not a promise of referrals, and nobody can pay for a higher spot: verified and active members show first.
Real estate licenses are checked live against the state licensing registry, with 3 attempts every 60 days. For insurance, you submit your state, license number, and NPN, and Refervia reviews it by hand, usually within 24 to 72 hours, then sends you an in-app notice and an email. Once verified, your badge shows to partners on your profile, Partner Network card, invites, referrals, and team roster. Your license number is never shown publicly.
On Pro and up you get your own link, like refervia.com/r/yourname, with a public card and a simple send me a referral form. Share it anywhere. The page asks who's sending first. Your clients and friends send without an account by confirming their email with a quick code. Real estate, mortgage and insurance pros create a free Refervia account in about 30 seconds (or log in) and become your trusted partner. Every referral lands on your Referral Desk with a bell and an email.
Your own phone number for referrals, on Pro and up. Partners call it any time. It answers with your name and says the call is recorded and transcribed, then takes the client's name, number, what they need and where. Or it rings your phone first and takes the referral if you can't pick up. Moments after the call, it's on your Referral Desk as a new referral from that partner, and one tap adds it. Driving? Call your own Line and say who the client is for, and it's a draft ready to send. Click to call on any referral goes out from your Line, and the call is logged on that referral with the transcript, plus an AI summary once you turn on AI write-ups. Smart matching knows who's calling: a client on one of your referrals shows by name, with their referral. Pro includes 300 minutes a month and Pro Max 1,000. Brokerage and Agency add a team line, plus Lines for up to 10 members, sharing 2,500 minutes a month; Enterprise gives every member a Line and shares 10,000. No overage charges: at the limit your Line still takes every referral. Choose your number, in the area code you want, from Refervia Line in your dashboard.
One Refervia Line for your whole team, on Brokerage, Agency and Enterprise. Partners call one number; it answers with your team's name, takes the referral, and posts it to the Team Referral Queue, where the first teammate free claims it. Everyone on the team gets a notification and an email. Owners and admins choose how it answers (take the referral, or ring an office phone first), see every call, and can call out from it; smart matching shows which client in the queue is calling. It shares the team's minutes with members' own Lines: 2,500 a month on Brokerage and Agency, 10,000 on Enterprise, with no overage charges. Owners and admins choose its number from Refervia Line, under Team line.
Your Refervia Line knows who's calling. When a client on one of your referrals calls, your Line shows them by name with their referral, and with AI write-ups on, the AI reads the call knowing who they are, so a client checking in isn't written up as a new referral. The call is logged on that referral, where only you see it; it's never shared with your partner. Trusted partners show by name too. Someone the Line doesn't know, you match in two taps: Find a match, then pick the client or partner, and their past and future calls join that referral. On a team line, the teammate who claimed the client's referral gets a notification when they call. On Pro and up.
Yes. Click to call is on every referral. On Pro and up it goes out from your Refervia Line, right in your browser: the client sees your Line's number and hears that the call is recorded and transcribed, and the call is logged on the referral with its transcript, plus an AI summary with AI write-ups on, so your activity stays accurate. Text, right next to it, opens your phone's own messaging app with the number filled in; Refervia Lines are for calls only, so a text goes from your own phone. On the Line page you can also call anyone back, search your clients and partners, or use the keypad. On Free, Click to call opens your phone's dialer and nothing is logged; Get smart calls shows what the Line adds. Until you choose your Line's number, Click to call uses your phone.
Yes. Car dealers, builders, contractors, property managers, financial advisors, attorneys, CPAs, home inspectors and movers all meet people who need an agent, a lender or insurance. On Pro and up, share your branded referral link with them. They pick Another business, choose their line of work, enter their first name and confirm their email with a 6-digit code, with no Refervia account needed. Their device stays confirmed for next time. Every referral lands on your Referral Desk, and they are added to your Trusted Partners as a contact. Your clients and friends send without an account the same way. Real estate agents, loan officers and insurance professionals create a free account (or log in) to send.
They show in your Trusted Partners with a By email tag. They send you referrals through your branded referral link with a quick email code, and their device remembers them. When you send them a referral, they get an email with the client's name, phone, email, referral type and your note, and replying reaches you directly. A reminder sends that email again. They don't have a dashboard, so you track the status on your Referral Desk. Pause and Do Not Route work the same as for any partner. Real estate agents, loan officers and insurance professionals still create a free account to connect.
Teams
Agencies, brokerages, and the Team Referral Queue.
On team plans, the Team Referral Queue is one shared list of internal handoffs that anyone on your team can claim, work, and update. Owners and admins can reassign a referral or send it back to the queue, and paid team plans can auto-assign by line of business. It keeps first response fast, so a referral never waits on one person's inbox.
Every team plan includes it: Brokerage Free and Agency Free for up to 3 users, Brokerage and Agency for growing teams, and Enterprise for multi-location organizations. Free, Pro, and Pro Max are individual accounts.
When a referral is posted to the queue, your team is notified and any available member can claim it. Once claimed, it moves to their Referral Desk, the owner is notified, and everyone can see who has it, so nothing sits waiting.
Yes. When you send to the Team Referral Queue, you can post it for the whole team to claim or assign it straight to one teammate. Assigning puts it on that person's Referral Desk right away and notifies them.
Every team plan has a team leaderboard in Insights. Brokerage, Agency, and Enterprise add Team Reports: the whole team's pipeline, including each member's own partner referrals, what needs attention, results by teammate, by line of business, and top partners, a weekly speed-to-lead trend, and CSV export. Owners and admins also get a weekly team digest by email on Mondays and a monthly team report on the 1st. Enterprise adds reports by office.
Trusted partners are outside professionals you invite by email to exchange referrals. Team members are people inside your own brokerage, agency, or enterprise account who share and claim internal handoffs in the Team Referral Queue.
Yes. Brokerages and agencies can book a demo, and we will walk your team through the Referral Desk and the Team Referral Queue.
Plans and billing
Free plans, paid plans, and changing your plan.
Every account type can start on a free plan with no card required, including teams. Paid plans add more monthly referrals and team features, with no per-referral fees. See the pricing page for current plans.
Every plan, including Free, Brokerage Free and Agency Free, includes handoff checks before every send, the partner agreement signed in the app, the Year in Referrals recap, referral drafts, and signing documents your partners send you, plus the Partner Network, license verification, private labels and notes, follow-up dates with in-app reminders, importing your current referrals, and CSV export and CRM connections. Pro and up, meaning Pro, Pro Max, and every member on Brokerage, Agency and Enterprise, adds automatic reminders when a partner hasn't made contact, give and get with every partner, a client status link to share with your client, sending your own documents to sign, unlimited partner messaging, automatic Partner Quality Signals and a branded referral link. The Refervia Line comes with Pro and Pro Max, and the paid team plans add a team line plus Lines for members.
No. Refervia is a flat monthly plan, or free, with no per-referral fees and no percentage of anything. It organizes and tracks the handoff between you and partners you already trust, and any arrangement between you and a partner is yours to manage under your own license rules.
No. Plans set how many referrals you can send each month, and team plans share that number across the team. Referrals you receive are never capped on any plan.
Yes. Any paid plan is 20% off when you pay yearly instead of monthly. You can choose yearly billing at checkout or switch later from Plan & billing.
Yes, anytime from Plan & billing. Upgrades start right away and are prorated. Downgrades and cancellations take effect at the end of the period you've paid for, and Plan & billing shows what's scheduled. Your partners and referral history stay with your account.
Privacy and data
Who sees what, and how your data stays yours.
Refervia is built with security and privacy in mind as we grow. A referral is shared only with the partner or team you send it to, and your private partner labels stay private to you. Card payments run through Stripe, so Refervia does not store your card details.
You and the partner or team you send it to. Email notifications include the client's name and the referral type, and the rest of the details stay in the app for the people working that handoff.
Yes. You can delete your account yourself anytime in Settings under Delete account. For a full data export, our team handles the request directly so we can confirm it is really you.
Support
Getting help from a person or the assistant.
Ask the assistant on any page for an instant answer, any hour, browse the Help Center, or visit the support page. If you need a person, the assistant can open a ticket, and a real person reads every request and answers by email, Monday to Friday 9 to 5 and Saturday 9 to 1 Eastern. With your OK, our AI support team can also look into your own account securely once you confirm it's you; they always say they're AI. Tickets from paid plans are flagged Priority and handled first.
