Email & Communications Policy
This policy explains the messages Refervia sends, the messages users send each other through Refervia, your consent to electronic communications, and how to manage your preferences. It is part of our Terms of Service.
- You agree to get account and service messages electronically. These are needed to run your account.
- Marketing emails are optional and every one has an unsubscribe link.
- Invites you send go out at your direction, so only invite people you actually know or have a reason to contact.
- Refervia texts you only when you ask it to, like checking the box for texts on a form or texting our business number first. Reply STOP to stop and HELP for help.
- Notifications can be delayed. Do not rely on them alone for urgent deadlines.
This summary is here to make the document easier to read. It is not a substitute for the full text below, which is what applies.
01Consent to Electronic Communications
By creating an account, you consent to receive communications from Refervia electronically, including by email, in-app notifications, and postings in your dashboard. You agree that agreements, notices, disclosures, and other communications we provide electronically satisfy any legal requirement that they be in writing.
You can withdraw this consent by closing your account. Keep your email address current so you receive important notices.
02Messages Refervia Sends
Service and transactional messages
Account confirmations, sign-in and security notices, referral and invite notifications, billing receipts, policy updates, and support replies. These are part of the Service and generally cannot be turned off while your account is active.
Product updates and marketing
Occasional product news, tips, offers, and reminders, such as a reminder about a plan you started but did not finish. These are optional, and every marketing email includes an unsubscribe link.
Some automated messages described on our website may not be active yet. We will not send marketing email to people who have unsubscribed.
03Invites and Messages Sent on Your Behalf
When you invite a Trusted Partner or team member, Refervia sends the invite at your direction and may include your name, company, and a personal note you write. You are the sender of that invite for legal purposes, and you confirm that:
- You have an existing professional relationship with, or a lawful basis to contact, the recipient.
- The invite and any note are accurate and not misleading.
- You will not use invites for bulk, purchased-list, or unsolicited outreach.
We may limit, delay, or block invites that look like spam or generate complaints.
04Text Messages (SMS)
Texts from Refervia
Refervia texts you only when you ask us to: for example, you check the box to get texts when you request a demo, or you text our business number first. We text about your request, scheduling your demo, and support for your account. We don't send marketing texts.
- Message frequency varies with your request; most conversations are a few messages.
- Message and data rates may apply.
- Reply STOP to stop getting texts from us at any time. We will confirm once and send nothing more unless you text START.
- Reply HELP for help, or contact support@refervia.com.
- Agreeing to get texts is never a condition of buying or using Refervia.
- Carriers are not liable for delayed or undelivered messages.
- We never sell or share your mobile number, or your consent to get texts, with third parties or affiliates for marketing or promotional purposes. See Mobile Numbers and Text Messages in our Privacy Policy.
Calls with a Refervia Line
A Refervia Line is a member's own phone number for referrals, and it is for calls only: no texts are sent or received through a Line. Calls with a Line are between you and that member's business, not Refervia. Every Line call starts by saying it is recorded and transcribed. A text sent to a Line number doesn't reach the member, so call the Line instead.
Texts members send from their own phones
When a member taps Text next to a phone number in Refervia, their own phone's messaging app opens with the number filled in. That text is sent from the member's own phone and mobile carrier, not through Refervia: Refervia doesn't send it, never sees it and keeps no copy. The member is responsible for it, like any text they send from their phone.
Clients' phone numbers
Refervia does not text clients for members. Do not enter a client's phone number for the purpose of having Refervia text them.
05Messages Between Users
Messages, notes, and status updates you exchange with partners and team members are user content. Refervia is not responsible for what users say to each other. Messages are stored so the conversation is available to its participants, and organization admins may have access to messages within their organization's workspace.
We may review messages when reasonably necessary to investigate abuse reports, enforce our policies, provide support you request, or comply with law.
06Delivery Is Not Guaranteed
Email, push, and in-app notifications depend on networks, providers, and device settings outside our control and may be delayed, filtered as spam, or not delivered. Do not rely on Refervia notifications alone for time-sensitive client, contract, or compliance deadlines. Check your dashboard and contact partners directly when timing matters.
07Managing Your Preferences
- Unsubscribe from marketing emails using the link at the bottom of any marketing email.
- Manage notification settings in your dashboard where available.
- Contact support@refervia.com if you need help with your preferences.
