On Pro and up, Refervia follows up on the referrals you send, so a client never sits waiting on a partner who hasn't called. Pro and up means Pro, Pro Max, and every member on Brokerage, Agency and Enterprise.
How it works
It starts when you send a referral to a partner and they haven't marked it Contacted:
- 24 hours after you sent it, if it's still New, Refervia reminds your partner by email and in the app. The reminder comes from Refervia, not from you. A partner who hasn't joined yet gets the "a referral is waiting for you" email again, and a partner without an account gets the referral's details again.
- 48 hours after you sent it, if it's still New (and at least a day after that reminder), you get No contact yet, by email and in the app, with Send to someone else.
Once your partner marks it Contacted, or declines it, nothing more goes out. Each referral gets one automatic reminder and one No contact yet, at most.
Reminders go out within the hour, between 8 AM and 8 PM Eastern. One that comes due overnight waits for the morning.
When you hear "No contact yet"
You can:
- Send to someone else, from the email, the notification, the referral on your Referral Desk or the referral's pop-up. The New referral form opens filled in from the first handoff, with that partner left out of the list. Pick another partner and send. The first partner's copy is withdrawn, and they're told. See Send it to someone else.
- Give them more time. Nothing changes unless you act, and your partner can still mark it Contacted.
- Check in yourself: open the referral and click Send reminder, or Message your partner.
Your own reminder counts
If you clicked Send reminder yourself in the day before the automatic one was due, Refervia doesn't send a second one: yours counts. No contact yet still comes 48 hours after you sent the referral, and never sooner than a day after your reminder. Send reminder works once a day, on every plan.
When a partner sends you a referral
If the partner who sent you a referral is on Pro and up, you get Refervia's reminder when it's still New a day after it arrived. Mark it Contacted once you've reached out, so they know (see Update a referral status).
Good to know
- It's for referrals you send to a trusted partner. Posts to your Team Referral Queue aren't included.
- On Free, Brokerage Free and Agency Free you can still click Send reminder yourself, once a day. Automatic reminders come with Pro, and on a free team with Brokerage or Agency.
- Want a reminder for yourself instead? Set a follow-up date on the referral.
- Your partner agreement asks for first contact within 24 hours, never later than 48, so the reminders match what you've both agreed to.
Trouble?
- "My partner says they called, but it still says New": ask them to open the referral and click Move to Contacted.
- "I didn't get No contact yet": your partner may have marked it Contacted or declined it, or you're on Free, Brokerage Free or Agency Free.
