Update a referral status

The person who receives a referral keeps its status up to date. The sender sees every change on their own Referral Desk.

The statuses

• New, Contacted and In Progress are open. They are still being worked.
• Completed means won and closed out.
• Declined means not a fit for the receiver.
• Archived means parked for now. It does not count as completed.
• Withdrawn means the sender cancelled it.

There are no other statuses. "Quoted" or "closed" aren't separate steps: use In Progress while you work it, then pick Completed when it's done (it shows as Done on a phone).

Steps

1. Open Referral Desk in the left menu (on a phone, Referrals in the bottom bar).
2. Click the client's name to open the referral.
3. Under Lead stage, tap the big Move to button to go to the next step.
4. To finish, pick one tile under Close it out: Completed, Declined or Archive.
5. Wait for the short message at the bottom, like Moved to Contacted. That means it saved.

Faster way: on the open list, use the status menu at the right of a row and pick the new status.

Undo or go back

• Tap any stage dot on the Lead stage track to jump there, even backward.
• On a closed referral, tap Reopen at the top of Lead stage. It goes back to In Progress.

If you sent the referral

You cannot change the status. Your partner controls it. While it is still open you can:

• Tap Send reminder to nudge your partner. You can do this once a day.
• Tap Withdraw, then Withdraw referral to cancel it. The receiver is notified.
• Tap the pencil (Edit referral) to fix the client details. The status stays with your partner.

Good to know

• If you claimed a referral from the Team Referral Queue, you update it the same way.
• Closed referrals move into the Closed referrals sections below the open list.
• A referral counts as completed only while its status is Completed. If you reopen it, it stops counting.
• Want a nudge for yourself? Set a Follow-up date in the referral. Refervia reminds you in the app that day.

Trouble?

• "That move didn't save": Check your connection and try again. The status goes back to what it was.
• "Reminder already sent recently": You already nudged them. Try again later.
• "I don't see Send reminder or Withdraw": The referral is already closed. No action is needed.
