Send your own documents to sign

Send your own documents, like your brokerage's referral agreement, to a trusted partner you have the Refervia Partner Agreement with, or to the client on one of your referrals. Partners sign in Refervia; clients sign from a private link in their email, with no account. Everyone keeps the signed copy. Sending is on Pro and up; signing is free.

Send your own documents to sign, like your brokerage's referral agreement or a client's buyer agreement, and get them signed right in Refervia. They can go to a trusted partner or to the client on one of your referrals. Everyone keeps the signed copy.

Before you start

  • Sending is on Pro and up. On Free, Brokerage Free and Agency Free you can sign documents a partner sends you, but not send your own.
  • Partners: the partner agreement comes first. It starts on its own when you connect with a partner, and your own documents open up once you've both signed it. See Partner agreement.
  • Clients: an email on the referral. Documents go by email, so a client needs an email address on their referral. A referral without one shows No email on file; add the email on the referral first.
  • A PDF, up to 10 MB and 100 pages. Save Word documents and scans as a PDF first. A password-protected PDF needs to be saved again without the password.

Send one

  1. Open Documents in the left menu (on a phone, the page icon at the top), and click Send a document. Or, on a partner's card in Trusted Partners, click Documents next to the partner agreement.
  2. Under Who signs it, pick the person. Search by name, company, city, referral stage or email, or narrow the list with the filters: Partners or Referral clients, a city, and a referral stage. The list holds your trusted partners and the clients on the referrals you've sent and received. Anyone who can't be picked yet stays in the list with the reason: Partner agreement not signed yet or No email on file.
  3. Pick the PDF, give it a name and, if you like, a note. Click Upload and place fields.
  4. Place the fields. Under Where (their name) fills in, for example Where Jordan fills in, pick Signature, Date signed or Full name, then click the page where it goes. Do the same under Where you sign if you sign it too. Drag a field to move it, drag its corner to resize it, or click its × to remove it. Your draft saves as you go.
  5. If you placed fields for yourself, tick the box: it signs them with your first and last name in cursive. Then click Sign and send (or Send if only they sign).

A partner gets an email and a notification in Refervia. A client gets an email with a private link to sign. Until they sign, the document shows whether they've opened it, and you can Send a reminder (once a day) or Withdraw it. Refervia sends one reminder of its own two days after you sent it.

How a client signs

The client doesn't need a Refervia account and never signs in. The email's Review and sign button opens a private signing page with the same signing steps partners get:

  1. Before adopting a signature, they read Refervia's disclosure about electronic records and signatures: what they're agreeing to, that it covers this document only, how to get a paper copy instead (by asking you), how to withdraw before signing, and what they need to open and keep it.
  2. They type their full name, tick the box and click Adopt and sign, then sign each place you marked and click Finish. Or they click Decline to sign and, if they like, say why.
  3. Once it's signed, the same page shows their signed copy to download, and they get an email with a link to it. The link keeps working, so they can come back for it.

Only the person with the link can open it. The link is never shown in Refervia, and the page isn't indexed by search engines. If a client loses the email, send them a reminder: it has the same link.

Sign one you were sent

When a partner sends you a document, you get an email and a notification, it shows on Documents under Waiting for your signature (with any partner agreement you haven't signed yet), and their card says it's waiting for your signature.

Open it from Documents (Sign), the partner's card, or the email's button, which opens it ready to sign. Each place you sign is marked Sign here.

  • On a computer, you sign right on the document. Start, Next and Finish are on its right, with your signature and the note from your partner. On a wide screen, each place to sign, how many are done and the pages show on its left; click one to go there.
  • On a phone or tablet, click Review and sign: the document opens in its own window, full screen on a phone, with the next step at the bottom.

Then:

  1. Click Start. It takes you to the first Sign here and asks you to adopt your signature: your first and last name in cursive. Tick the box and click Adopt and sign.
  2. Click Next to go to each remaining Sign here, and click (or tap) it. Your name and the date fill in where they go. Click a signature again to take it off.
  3. Click Finish once everything's signed. Refervia shows how many are done as you go.

Or click Decline to sign (on a phone, Decline at the top) and, if you like, say why. Your partner is told.

The signed copy

Once everyone has signed, everyone is told by email, and the document shows Download signed copy: the PDF with each signature, name and date where it was placed, the document's ID at the top of every page, and a signature record page at the end with who sent and signed it, when, from which IP address, and the original file's fingerprint (SHA-256), so anyone can check it's the file that was sent. For a client, the record also says they signed through the private link emailed to their address, after Refervia's disclosure about electronic records and signatures.

Who's responsible

The document is the sender's own. Refervia delivers it for e-signature, records each signature and keeps the signed copy, but isn't a party to it and isn't responsible for its terms, including any referral fees, commissions or other payments it sets out or discloses. Those are handled the way you handle them today, through your own broker, agency or company. Refervia never takes, calculates or handles referral fees.
